From getting proposed to planning your big day. There is a lot of planning in between and couples get often overwhelmed. It sounds like a dream to host it on Ibiza, and honestly, it is. Think of golden sunsets, warm sea air, long dinners under the stars, and that relaxed, stylish energy the island is known for. But behind every effortless Ibiza wedding is a lot of thoughtful planning. And if you’re organizing it from abroad, there are a few things you’ll want to understand early on to avoid unnecessary stress later. This is where you should start.
Here’s a clear, practical guide by experienced Ibiza Wedding Planners to help you plan your Ibiza wedding from start to finish.

1. Start Wedding planning: Budget, Guest List & Vision
Before diving into venues or suppliers, get clarity on three things:
Your budget (and a realistic buffer)
Approximate guest count
The kind of experience you want
Do you picture a barefoot beach ceremony? A luxury villa weekend? A stylish dinner party vibe?
In Ibiza, your vision will directly influence your venue, logistics, and overall cost, so getting aligned early makes everything else easier. Bear in mind that weddings on Ibiza are often multiple days, but you don't have to invite everyone. Select the people who are happy to travel for you and who will bring energy to your day.
2. Choose the Right Time of Year
Ibiza has a great climate, but there the wedding season here is typically runs from April to October. This is what you should know:
April, May & October: Beautiful weather, slightly calmer, great light. The earlier or later in the season the lower the rates are for flights, accommodation and wedding venues.
June & September - warm sea, soft light, not extremely hot, but the island is vibrant. Your guests will be able to make a summer holiday before or after your wedding day(s).
July & August: Peak season, hot, busy, and more expensive. Not all venues are willing to host weddings this time of year as they want to be open for the public. If you want more privacy a villa or exclusive boutique hotel are great options. But keep in mind, wearing a suit will be tough your guests, but especially for small children and older guests.
3. Find Your Venue
Your venue is the foundation of your wedding. It's the canvas you're going to work with. The garden, ambiance, views and settings are ingredients you should love. Furniture can always be replaced and decoration will be added to make it very personal, but the base is there.
In Ibiza, the main options are:
Private villas
Beach clubs
Restaurants
Boutique hotels
Each comes with a different level of flexibility and logistics. For example, villas offer total freedom, but requires more external suppliers to set everything up. Beach clubs and restaurants already have a kitchen and furniture you can use.
This is usually the step where couples either feel excited… or slightly overwhelmed. We're happy to advise you based on your wishes, your number of guests and budget. We can plan multiple site visits when you're on the island and can explain all you need to know on each venue. We highly recommend to involve a planner with the wedding venue scouting, as you might end up with issues you were not aware of throughout the process where we could have warned you on. That could result in unpleasantly surprising extra costs.
4. Decide If You Want a Wedding Planner
Planning a destination wedding is very different from planning locally. If you consider doing it yourself or ask a friend to do it for you, you might not be able to enjoy the process or even not that much on the day itself. You think you spare out some extra costs, but honestly we feel it's worth every euro in such an important process. Most people only marry once in their life and you want to fully enjoy that moment and have faith in the whole process.
An Ibiza-based planner can help with:
Supplier management - finding the right suppliers who can create the atmosphere you're looking for. Who you select has a big impact on the energy of the day and on the quality of the result.
Managing your budget and administration - we keep track of everything and always think along with you how you can make the most out of your budget with the best impact.
Couple guidance - we are your point of contact for everything. No need to call 12 suppliers when the timeline changes, no need to ensure they are fully briefed on every single detail and aware of what they need to deliver. We'll do that for you. You only need to share your dreams and take decisions on what you want. We'll do everything we can to make the wedding planning process a fun thing that you will miss after the wedding.
Creative concept - We'll help you create a meaning behind everything that you'll see and experience on the day. Music that brings the right atmosphere at each moment of the day, Flowers that you loved as a child turned in to beautiful table decoration, food your guests will remember and small touches alongside a great service of hospitality will make your wedding one of a kind and stand out.
Guest communication - whether you're planning on inviting 50 or 200 guests, we know from experience people would like to be updated frequently and need useful information about your wedding. That's why we usually built a customised wedding website where guests can find the itinery and where they can RSVP with their diet requirements. We can add recommended hotels, transport details, but also fun favorite restaurants or parties on the island. Believe us, this makes you feel a lot more relaxed when you know this is being taken care of by us.
Logistics - A topic that is often underestimated. Building up a venue, being prepared for bad or hot weather, making sure there is enough electricity or whether there is a generator needed, doing sound checks, briefing the waiters on where the people with allergies are seated. This is just a small selection on all the logistics and briefings we're working on. We're there to make the preperation, excution and the break down smooth and professional.
5. Build Your Supplier Team
Once your venue is secured, it's time to start booking key vendors:
Catering (if not included at the venue) -think about the type of food you would like. From sharing to plated dinners, which cuisine you want and which drinks will be served alongside. We always schedule a food & drink tasting so you can try everything yourself and finetune it where needed.
Photographer / videographer - those who capture the day and will make sure the memory lasts forever. We are proud to have an in-house photographer and videographer available as well.
Florist & styling - both incredibly important to create the style that matches your vision. From florists with their own harvest flowers to flowers ordered overseas, it's all available on the island and each florist and styling company has their own style and items available. We're happy to advise you on the items that work best with the style and mood desired.
Music (DJ, live band, or both) - music makes the day, and we can tell you that's a huge part of your guests wedding experience. Ibiza is known for great DJ's, great musicians and singers, but if you're in the mood for a big roaming band they're usually from the main land of Spain or elsewhere in Europe. Don't wait too long diving into this as it affects the vibe of the moment more than you realise.
Sound & light - Local musicians can bring their own sound equipment, but the more musicians the more technical equipment is required. Lighting is also something that adds so much romance and class to the dinner and party, so certainly include this in your budget.
Transport for you and your guests. A smooth wedding day ends and starts with good organised transportation. Nothing is more disappointing than people arriving late or way too early on a wedding ceremony. Same for waiting too long for taxi's after a wonderful wedding. That's why we plan it all in advance. Transport is a part of the wedding experience and we include that in our wedding planning service.
The best Ibiza suppliers get booked early, especially for peak season, so don’t leave this too late.
6. Plan the Legal Paperwork
Many couples choose to handle the legal ceremony in their home country and have a symbolic ceremony in Ibiza.
That results in a symbolic ceremony on the island and getting married for the law prior or after your Ibiza wedding.
If you do want it to be legal, you can get married in the Catholic church on Ibiza and legalise this in your own country.
In order to do that:
At least one of the two needs to be baptised and request a proof of this from your local church.
You need to follow a wedding course in your own country for a successful marriage. These papers are also shown in order to have a ceremony in the church.
Proof of your civil state from your country and a birth certificate of you both.
A symbolic ceremony gives you more flexibility and less stress, but please know there is a way to make it actually legal.
7. Working on the itinerary
An Ibiza wedding isn’t just one moment, it’s a flow of events. Especially because it takes place abroad, people fly over for your wedding. That's why our wedding couples usually make it a 2 or 3 day celebration. Here is some inspiration on a wedding weekend.
Welcome night - tapas and drinks the night prior to the wedding day
Wedding day - ceremony in the church or at the wedding venue
Wedding reception - drinks and appetisers to toast and celebrate
Wedding dinner - usually a sit down dinner with often speeches and a warm up for the party
Wedding party - it often starts outside and continues inside
Day after - hang over pool party, boat day or a good bye lunch or brunch prior to guest departure
Having a well-structured timeline ensures everything feels relaxed, but well thought of. Guests should RSVP for each day separately so you are well informed who is able to attent which event. And believe us, after a weekend like this it feels like you've been on a holiday with your guests.
Execution of the wedding days
After months, and often even one or two years, of planning, this is the moment where everything finally comes together. Your wedding day should not feel like another task to manage. It should be the moment where you can fully let go, trust the process, and simply enjoy being surrounded by the people you love most.
